Trailer handover and condition-notes log
Give the next person a clear record of the trailer, the handover and the issues that still need attention.

No account or email required. Downloads use English labels, CAD, kilometres and litres. Website language and unit controls do not convert the files. CSV files contain blank input columns, without workbook formulas or formatting.
Make the record useful
A brief handover can leave a long trail of unanswered questions: which trailer moved, where it was left and whether a noted issue reached the next person. This worksheet creates a consistent internal reference. It records communication and observations; it does not establish that an inspection was completed.
What to record
- Record the handover in UTC, trailer identifier, location, and from and to references. Convert local time using its correct offset and use only necessary personal details.
- Record the seal identifier as observed, available hub or odometer kilometres and visible condition notes with photo or document references.
- Identify unresolved issues, the follow-up owner, next action and due date. Keep an open issue separate from a completed action.
Use one row per handover, including an exchange back to the same location. Check the trailer identifier against the trailer itself and the paperwork. Keep photos and original documents in your own controlled records, and enter their reference in the log. A file name that can be found later is more useful than a note saying “photo taken”.
Use the result
At the start of the next shift, review open follow-ups and confirm the trailer’s location. When work is completed, add the resolution and its service reference rather than deleting the original observation. A repeated issue across handovers should remain traceable until someone records what happened next. Separate an unverified report from a directly observed condition.
Common mistakes
Avoid vague notes such as “damaged” without a location or reference. Do not mark a follow-up complete just because another person received the message. Do not treat a blank condition field as confirmation that there were no defects, and avoid storing unnecessary customer or cargo details.
What this log covers
This is an internal handover worksheet, not a legal safety inspection, required trip-inspection record, cargo-security checklist or authorization to operate defective equipment.
Save a separate working copy and keep original receipts and supporting documents. Keep private fleet records in your own files; the download does not send your entries to Truck University.
